CPO HANSER SERVICE GmbH (“CPO”) takes great care to protect the personal information of its website users. Data are personal when they can be linked to your person and provide information on your behaviour or your characteristics. Such data include of course your name, e-mail address, postal address and telephone number and also information on your possible interests and surfing habits to the extent that this information can be directly or indirectly linked to you.

We collect, use and process the personal data you provide only in accordance with the strict data protection laws in Germany and in compliance with the provisions of the EU Data Protection Directive.

Non-personal data
When you access our website or one of the files provided on the website, data will be recorded on our servers for internal, system-related and statistical purposes. These data may possibly be identifiable (name of the retrieved file, date and time of retrieval, amount of data transferred, notification of successful retrieval, the web browser and requesting domain). No person-related use of the data will be made. The right is reserved to perform statistical analysis of anonymised data records.

Collection, use and processing of personal data needed for our online services
If you register for a congress, reserve a hotel or make another booking on our website, we will ask for your name and other personal information that we need in this context. We use and process these data only to answer your queries, to process contracts made with you and for technical administration. Your personal data will only be given to third parties or otherwise communicated if this is required for contract implementation (e.g. to reserve a hotel room booked by CPO) or for settlement of accounts or if you have unambiguously given your consent.

Deletion of your personal data
Your personal data will be deleted after expiry of the legal, statutory or contractual retention period, as long as they are no longer required to fulfil a contract. Data not affected by the above will be deleted when the purposes as described in the consent no longer apply. If the data are subject to a retention period, they will be blocked instead of being deleted once the reason for collecting and using them no longer exists.

Visibility of your personal data for other users
By giving your consent to the use and processing of your data you agree to the publication of your data (e.g. name, address, email address) to other users so that they become visible to them.

Data safety
Your data will generally be transferred to us in an encoded form to exclude access by unauthorised third parties. Your data will be stored on especially secured servers. They are only accessible to authorised persons who are familiar with the applicable data protection provisions. We cannot, however, guarantee the security of the data as unauthorised access, hardware and software defects and other factors can prejudice data security at any time.
